About the Role

The Administrative Assistant will provide support for business operations across the company by performing a variety of clerical and administrative tasks. This position will support our office in Portland, ME as well as our operations in Alaska, US; Quebec, Canada; and Dublin, Ireland, so must be comfortable with assisting colleagues remotely. This is an on-site position that offers flexibility in hours and the ability to perform some tasks remotely. The Administrative Assistant will provide support across the organization, including:

Admin Tasks

  • Answer and transfers phone calls, screening when necessary
  • Welcomes and directs visitors and clients.
  • Maintains filing systems as assigned.
  • Sorts and distributes mail.
  • Manages general office functions, including maintenance, mailing, shipping, supplies, equipment, processing bills and errands.
  • Retrieves information as requested from records, email, minutes, and other related documents; prepares written summaries of data when needed.
  • Responds to administrative inquiries and questions.
  • Assist with travel arrangements including hotels and car rentals.
  • Prepares agendas and schedules for meetings.
  • Maintains office supplies and coordinates maintenance of office equipment.
  • Communicates with landlord about building and parking issues.

Finance Tasks

  • Processing and printing invoices; assisting with expense reimbursements.
  • Managing corporate credit cards and petty cash
  • Assists with finance and contracting projects as necessary
  • Performs other related duties as assigned.

Executive Tasks

  • Organizes and provides administrative support for Board meetings.
  • Participate Intellectual Property Committee and adds information as needed.
  • Reviews and prepares Non-Disclosure Agreements as requested. Maintaining filing system

HR/Safety Tasks

  • Maintaining employee safety records
  • Maintaining employee records for HR
  • Maintains company calendar, directory and organizational chart.
  • Tracking certificates of insurance and communicating with vendors when they are expired.

Essential Qualifications

  • Excellent verbal and written communication skills
  • Excellent interpersonal and customer service skills.
  • Proficient in Microsoft Office Suite or related software
  • Excellent organizational and attention to detail
  • Basic understanding of clerical procedures and systems such as recordkeeping and filing
  • Ability to work independently and identify and solve problems.
  • Ability to organize and prioritize work.

Education/Experience

  • Proficient in MS Work, Outlook, Excel and Power Point
  • High School Diploma or equivalent required; Associate degree preferred.
  • 1 year of clerical, reception, and/or administrative experience

Physical Requirements

  • Prolonged periods sitting at a desk and working on a computer.
  • Must be able to lift 15 pounds occasionally.
  • This position is required to be on-site in our Portland, ME office but does allow for flexibility in the hours.
