Job Purpose:
As a HR Officer – Global Mobility & Wellness at M-KOPA, you will play a crucial role in managing employee healthcare and GLA, GPA & WIBA scheme, while supporting our global immigration and internal mobility initiatives. As a key liaison between employees and associated vendors, including insurance providers and brokers, legal counsel, and immigrations consultants, you will play a pivotal role in supporting work authorization applications for M-KOPA markets.

This is an exciting opportunity to lead employee welfare and ensure employees always feel supported, while providing advice and recommendations that are in line with the employees’ requests.

You will work closely with the Manager - Global Mobility and Wellness to drive impactful initiatives that enhance our employees' experience and engagement.

What you will do:
1.Employee Benefits Administration

  • Perform the day-to-day administration of the staff benefits.
  • Serve as the first point of contact for all benefit-related questions and work as the liaison between the employees and the insurance providers.
  • Process employee status changes and qualifying events and update the details with the insurance providers within the required SLA – namely addition, deletion and upgrade of staff and their dependents.
  • Planning and coordination of the quarterly review meetings for the Wellness schemes.
  • Verify & maintain data relative to insurance premiums, claims and costs.
  • Resolve or escalate employees’ questions and problems on benefit policies and procedures.
  • Collaborate with our insurance brokers to ensure that the employee benefits are being administered appropriately.
  • Report claims to the insurance provider, collate the required documentation, and follow up on claims with the insurance provider to resolution while keeping the staff up to speed on progress.
  • Conduct new employee orientation sessions on Medical and GLA GPA and WIBA covers.
  • Providing ongoing support and communication to employees regarding benefits, including developing and facilitating training to increase employee benefits comprehension.
  • Prepare and distribute benefits and wellness communications.
  • Coordinate all correspondence related to employee benefits.

    1. Global Mobility

  • Guide and support expatriate employees through work authorization application processes, ensuring clarity on steps, required documents, and providing crucial information.
  • Preparing work authorizations application documents and relevant travel documents.
  • Submitting immigration application request and documents to the immigration consultants for work authorization processing.
  • Maintain accurate and up-to-date visa files and advise internal stakeholders on appropriate permits and application processes.
  • Monitoring work authorization expiry dates and managing renewal processes.
  • Supporting expatriate employees in obtaining their statutory documents i.e tax certificate, NHIF and NSSF number.
  • Staying up to date on the immigration trends and updates.
  • Ensuring the organization always stays compliant to the immigration laws.

You Might be A Good Fit if:

  • You have at least 2 years' experience working in a fast paced HR office either within an insurance or intermediary environment, ideally with a focus on private healthcare and group risk.
  • Knowledge of Kenya immigration laws and regulations.
  • Have some experience in global mobility/immigration within a corporate setting.
  • You are able to articulate technical concepts in a clear and understandable manner to colleagues without an immigration background.
  • Strong customer service skills with the ability to develop sound relationships with employees and external stakeholders.
  • Proficient in all Microsoft applications with a heavy emphasis on Excel and PowerPoint.
  • You are a fast learner who is a critical thinker and has great attention to details.
  • Ability to think intuitively, assertively and creatively.
  • Work well in a fast-paced environment and able to meet and maintain strict deadlines.
  • Demonstrate adaptability and flexibility in changing work scenarios.
  • You possess strong project management, change management, and transformation skills.
