POSITION OVERVIEW

We are seeking a skilled and experienced Veeva System Administrator to join our dynamic IT team. As a Veeva System Administrator, you will be responsible for configuring and maintaining our Veeva systems. The ideal candidate will have a strong background in system administration, a deep understanding of Veeva applications (CRM, Network, and Vault PromoMats), and the ability to support critical system integrations and collaborate with cross-functional teams to optimize and enhance our Veeva ecosystem.

ESSENTIAL JOB DUTIES AND RESPONSIBILITIES

  1. System Configuration and Maintenance:
    • Configure and maintain Veeva applications to meet business requirements, including Veeva CRM, Network, and Vault PromoMats.
    • Execute and implement customization requests by Functional Administrators, including configuration, creating workflow triggers, workflow alerts/messages, automated email responses, etc.

· Manages routine business processes (Call Plan, Alignment, Account Profile, etc) and data loads/unloads that may require using tools such as Force.com, Data Loader, Excel Connector, and/or API tools.

  • Supports the Veeva and Kate Farms account management processes and tools, including data change requests (DCRs), sample account creation, duplicate management, and other processes.

· Collaborate with development teams and configure Veeva systems to integrate them with other enterprise applications, including the Sample Order Fulfillment system, MDM and Contracting systems, etc.

  • Support integration with Veeva Compass, related MyInsights Dashboards, and reporting.
  • Maintain comprehensive work instruction documentation of system configurations, processes, and procedures.

· Assist Commercial Operations Team with direction on data structure/report types required for reports and dashboards.

  • Supports Medical Marketing’s use of Veeva, including maintaining the integrity of Closed-Loop Marketing and Veeva Approved Email content tracking within Vault PromoMats system.

· Manage, configure, and support Veeva Vault PromoMats configuration and setup of Kate Farms content review processes (marketing collateral, Packaging) by collaborating with Process Manager(s).

  1. User Support and Training:
    • Provide support to end-users, addressing inquiries, issues, and requests related to Veeva systems via the Veeva Support mailbox, direct emails, etc.

· Provide subject matter expertise for Training development and roll-out to the field.

  • Develop and conduct training sessions for users to ensure effective utilization of Veeva applications.
  • Manage and create user Veeva Help Documentation and Videos, which will be used for Training and User Self Help
  1. Security and Access Management:
    • Implement and manage security protocols to safeguard data integrity and protect against unauthorized access.
    • Administer user access permissions and roles, ensuring compliance with security policies.

· Conducts regular security/licensing audits, including new user setup, deactivation, and short-term vacant territory coverage account access.

  1. Collaboration:
    • Work closely with cross-functional teams, including Business Operations, Sales, Marketing, Content Review Team, and Compliance, to understand business requirements and ensure Veeva systems align with organizational goals.

· Collaborate as a Team Member of the Salesforce/Veeva Governance Team to maintain one cohesive integrated salesforce instance, including appropriate alignment for sandbox refreshes and coordination of Salesforce and Veeva releases.

· Champion for sales advisory committee and Digi-Ops Team that will assist in field adoption and Tier 1 support.

  • Collaborate with vendors and consultants on projects and system changes.

5. Quality Compliance

· The VSA will be responsible for the system's overall compliance, including using Chatter, Outlook, iPad applications, user application usage, and data recording.

· Ensure system configuration and data security meet company compliance policies to reduce the visibility of Patient Information and Concerns.

· Adheres to governed change control procedures and assures that appropriate steps/approvals are taken to promote system changes from Dev to Test to Prod as required.

MINIMUM JOB REQUIREMENTS

  • Bachelor’s degree or equivalent experience, advanced degree or MBA preferred
  • Veeva Certified Administrator preferred
  • 5+ years of Veeva system administration experience
  • 5+ years of data analysis, Master Data Management (MDM) tools, and/or ETL experience
  • Minimum 2+ years’ experience in supporting Field Sales Operations
  • Proven experience with developing and implementing processes as they relate to business applications
  • Must have excellent communication and training skills with a strong desire to be the voice of the user in communicating issues/opportunities with management
  • Understanding and experience using business intelligence systems (i.e., Business Objects, PowerBI, etc.)
  • Proven ability to manage cross-functional projects with aggressive timelines
  • Third-party vendor and resource management experience is required
  • Demonstrated ability to design and implement sales processes and infrastructure to meet business needs
  • Experience with cross-functional collaboration with IT, Medical Marketing and Customer Care
  • Demonstrated experience in driving and managing change within an organization and multiple shifting priorities

base salary range above represents the low and high end of the Kate Farms salary range for this position. This range will

vary and may be above or below the range based on various factors including but not limited to location, experience,

internal pay alignment, and performance. The range listed is just one component of Kate Farms’ total compensation

package for employees. Other rewards may include annual bonuses and short- and long- term incentives.
