Who you will be joining:

This role reports directly to the President of ecobee and will work closely with the broader ecobee senior leadership team as well as with EAs at our parent company, Generac.

This is a hybrid position, based in Toronto. You will be required to be on-site in our waterfront headquarters at least 2 days a week, facilitating an important connection between our President, staff and local employees. Some weeks may require additional days in the office dependent on travel schedules and visitors.

How you will make an impact:

Your proven strength and ability as an EA will allow you to be a strategic partner to our President, helping to organize, plan, and coordinate activities across the company. You will work closely with company leadership on key initiatives, business operations, and team events; proactively problem-solving while managing the rhythm of our business.

Role responsibilities include:

  • Calendar & Time Management: Manage and prioritize the Presidents calendar, ensuring effective use of their time, including coordinating meetings, interviews, events and virtual calls.
  • Travel Arrangements: Coordinate domestic and international travel arrangements, including flights, accommodations, and transportation.
  • Event Coordination: Plan and organize events (dinners, team building, and social events). Handle the logistics, invitations, and any necessary arrangements.
  • Meeting Support: Prepare meeting agendas, documents, and presentations. Attend meetings, take minutes, and distribute relevant information to stakeholders.
  • Workflow Optimization: Track and manage workflow of action requests to ensure deadlines are met. Anticipate needs and proactively address issues to optimize the executive's time.
  • Research and Analysis: Take initiative to conduct research, compile information and recommend changes as needed to improve systems, processes, and reporting.
  • Relationship Management: Build and maintain positive relationships with internal and external stakeholders. Act as a liaison between the executive and various departments or individuals.
  • Expense Management: Track and reconcile expenses, ensuring adherence to budgetary guidelines.

What you’ll bring to the table:

  • 5+ years’ of executive assistant experience
  • A high level of diplomacy, integrity, and discretion in handling confidential information
  • Ability to thrive in ambiguous face-paced situations and deliver high-quality results
  • Self-starter, with the ability to operate independently while anticipating and planning ahead
  • Creative problem solver, seeking “win-win” solutions
  • The ability juggle competing priorities with excellent judgment, flexibility, and a positive, service-oriented attitude
  • Be an exceptional planner and perform a high volume of complex tasks autonomously
  • Communicate and respond effectively and efficiently, while maintaining flexibility, a sense of humor, and calmness under pressure
  • Strong attention to detail and use of good judgement
  • Have a strong bias towards seeking truth over social cohesion
  • Expertise in Microsoft Office and Confluence products and applications
  • BS/BA degree preferred

  • Round 1: 45-minute phone call with a member of Talent Acquisition.
  • Round 2: 1-hour virtual interview with the hiring manager.
  • Round 3: 1.5-hour virtual interview with a cross-functional team.

Based on your job, you have an option of a office-based, fully remote, or hybrid work environment.
