CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Travel assistant to work in the Business Services Department of CIMMYT.

The position will be based at CIMMYT’s campus in Texcoco, State of Mexico, located 45 km northeast of Mexico City, Mexico.

Specific duties:

  • Review the options provided by the travel agency, always considering the best option: the combination of the most direct route, shorter connection time, best price, viability in relation to immigration requirements, etc.
  • Support CIMMYT travelers/travel arrangers with the application and management of Visas.
  • Support travel focal points to make airfare/hotel/car rent booking with the CIMMYT travel agency using the CIMMYT’s travel platform.
  • Assist in logistics for meetings, training, and workshop/seminars.
  • Process journals if required to ensure timely payment to vendors.
  • Support the delivery of high-quality Travel services to colleagues in HQ (Mexico) and Regional Offices (Asia, Africa, Middle East, and America).
  • Contribute to the development of travel reports.
  • Contribute to communication on travel strategies by developing material, newsletters, flyers, and updating information in the CIMMYT’s Intranet.
  • Perform any other tasks and assignments related to the Travel Services Unit’s projects, as required by the supervisor.
  • Review travelers' profiles to ensure that updated information is captured in the profile data, such as passport expiration dates, visas, food preferences, frequent traveler numbers, etc.
  • Prepare summary from meetings, documents, follow ups, and support and keep all travel services documents in a CIMMYT repository.
  • Other activities as required by the supervisor.

Requirements

  • The owner of the position should have a degree in administration or related.
  • The owner of the position must have more than 5 years of experience as a travel agent and visa management.
  • The owner of the position must have knowledge about GDS Globalizers domain, like Sabre, Amadeus, etc.
  • Intermediate level in MS Office, with special remark in Excel is required.
  • The owner of the position must have an Intermediate level of English (fluent written and conversational). English will be tested.
