Job Description

The International Maize and Wheat Improvement Center, known by its Spanish acronym, CIMMYT®, is a not-for-profit agricultural research for development organization with partners in over 100 countries.

CIMMYT is seeking a dynamic, self-motivated, and service-oriented professional for the position of Executive Assistant to manage the Program Director calendar, including scheduling meetings, appointments, speaking engagements, exercise discretion in committing time and evaluating needs.

The position is based at CIMMYT’s campus in Texcoco, State of Mexico, located 45 km northeast of Mexico City, Mexico.

Specific Duties:

  • Support and coordinate high-level meetings, including draft agenda, logistics, putting together dossiers or packets, and mailing each member in advance of the meeting. Organize documents, maintain records and follow up as needed.
  • Support strategy development and implementation in SAS through preparation for meetings, and organization, maintaining confidentiality and discretion. Provide assistance and support on documentation, last minute requests, changes or contingencies.
  • Respond to inquiries from various internal and external parties for the purpose of providing information and/or direction, including:
  • Communication: Screen incoming emails, phone calls and forward to the appropriate person as required.
  • Prepare and send invitation letters, letters of acknowledgement, condolences, regrets, etc
  • Discuss and schedule invitations to high-level events and visits, coordinate transport and schedule in calendar, and visitor arrangements.
  • Supervise the Program Director’s office assistants, office support staff as needed, to support PD in travel reimbursement, administration support, human resource management e.g. consultants.
  • Transcribe source material, prepare documents, reports, tables and charts; distribute as appropriate. Translate documents and correspondence as needed, from local language (Spanish) to English and from English to local language (Spanish).
  • Provide support in the organization of the Program events, courses, and workshops.
  • Other activities as requested by supervisor.

Requirements

  • The selected candidate must have Bachelor’s Degree in Business Administration, Accounting, Finance or related fields.
  • Minimum 8 years of relevant professional experience, with increasing responsibilities over time.
  • Advanced level in MS Office, specifically in Excel and Power Point.
  • Advanced level of English (written and conversational). English will be evaluated, and candidate should score a minimum of C1 on CEFR.
  • The selected candidate must exhibit the following competencies: Organization, Critical thinking, Teamwork, Client Orientation, Problem Solving decision making, Negotiation and Conflict resolution
