Job Description

We are seeking a dynamic, self-motivated and service-oriented professional for the position of Administrative Assistant II to collaborate in the area in order to meet the daily administrative needs that arise in the different areas, contributing to the optimal functioning of the administrative processes of the Institution.

  • Assist in the coordination of all administrative activities of the area, including placement of orders to suppliers (in close relation with CIMMYT’s financial and supply chain areas), processing of overtime, as directed by supervisor.
  • Ensure that all services and administrative requirements are followed up to satisfactory closure; maintain accurate control of all the administrative activities such as registers, schedules, feedback from customers and other internal mechanisms.
  • Assist in the preparation, edition, formatting, scanning, drafting, dispatch, and filling of all documents related to the area.
  • Maintain excellent customer care mechanisms: contact with staff and guests, immediate communication and response to queries and requests, and prompt report to supervisor on unsolved issues.
  • Prepare purchase orders and payments, accuracy in checking documentation, verification in system of vendor creation.
  • Compile and process accounting activities related to the area, including but not limited to: expense reports and reimbursements (including cash and credit card expenses, advance payments, per diems: gathering receipts, maintenance and reconciliation of cash float, control of chargeback account, month end reporting, accounts receivable and registry/report of income and expenditure in matters related to the area.
  • Support in warehouse activities, including preparation and reviewing of stock vouchers, records of entry of products, deactivation of products.
  • Support printing and mailing services
  • Manage the Souvenir corner shop in the Maya building.

Requirements

  • Highschool Diploma.
  • High level of responsibility, confidentiality, leadership and accountability.
  • Advanced English Level
  • Ability to work in a multicultural environment.
  • The selected candidate must exhibit the following competencies: Critical thinking, Creative thinking, Teamwork, Communication, Analytical Skills, Problem Solving and Decision Making, Effective Communication, and Conflict Resolution and Negotiation.
